Hiding older content with Smart Filters

Smart Filters are a brilliant way to automate workflows around your Hub. While they can be used to do a whole variety of things, one of their most potent (and easy to set up) uses is hiding older content with the click of a button. 

Why would you want to hide older content? Two words: content noise. To stay relevant in their space, today’s marketers are pushing new content to their users at an all-time rapid pace. And as content cadences become more regular, older content can quickly become outdated. In an effort to optimize the content experience, hiding the now-archaic assets helps users quickly access the most relevant content by reducing the amount of choice. 

Here’s how to set up your hub with Smart Filters to quickly hide older content: 

Step one: 

Using Uberflip Analytics, go to Standard Reports > Item Report and download a CSV of all your content. Be sure to hit “Custom” for row limit, and set the limit to 5000 rows to capture all of your content. 

Step two: 

Make a copy of this Google Sheet, and copy and paste all the rows in your CSV into cell A2 on Tab 1. This will populate Tab 2 with a list of Quarter-Year tags that can be applied to each content ID using the bulk uploader. 

This Quarter-Year tag (example, Q1-2020), will allow you to hide all content that falls before a certain date. For example, you could hide all content that is tagged with Q1-2017. 

Step three: 

Provide the spreadsheet to your CSM or to Uberflip Support, and ask them to run the Bulk Smasher on your Hub to upload the Publish Date tags to all content. 

Step four: 

Log in to your Hub, go to Smart Filters, and click “Add New Filter”.

Select “Tags-Match” from the dropdown, and then type in the Quarter-Year tag that corresponds with content you’d like to hide.

Click away from the grey area, and then click “Next”. For the action, select “Change Status” from the dropdown, and there, select “Hide” 

Finally, under Settings, select run on existing items immediately, and voila! All content in that Quarter-Year frame will be hidden. Feel free to run this as many times as you like. Some customers even choose to do this once per quarter to always stay ahead of outdated content!
